Dot Book · Club Compliance Edition
The club book that answers questions.
Members with age verified. Batches tracked to the gram. Every hand-over tied to a member, a batch and a date. Kept on your device — not somebody's cloud.
Five records. One book.
When the bank, the landlord or SAPS asks a question, a club lives or dies by whether its book can answer. Dot Book keeps the five records that answer:
Member register
Every member with an ID age-check recorded — the fact of the check, not a copy of the document. POPIA-minimal by design.
Gram-tracked batches
Each batch carries its size. Hand-overs count down — 30g out of a 50g jar leaves 20g, and the register refuses to hand out grams it does not hold.
Distribution log
Member, batch, grams, contribution, date — every hand-over. Corrections are struck through, never erased. A log with no missing lines.
Cultivation log
Grower, strain, location, plant count and yield — grams traceable from grow to batch to member.
Money book
Contributions, day totals, cash-up against the drawer. Members get a Member Contribution Statement — never a retail receipt.
Staff control
PIN logins with roles. The owner decides who sees money and who can only record. Every action carries a name.
Why clubs choose Dot Book
Your records stay with you
Dot Book runs on your own phone, tablet, laptop or desktop and works fully offline. Membership and distribution records never sit on a stranger's server — you hold your book the way you hold your keys.
A fraction of the price
Cloud club systems charge by the month and grow with every add-on, because you are paying for someone else's servers. Dot Book's club edition is R750 a month, flat — the same price as every other Dot Book.
Honest by design
The register refuses over-distribution, statements never dress a hand-over as retail, and voided entries stay visible. Built for the day someone asks.
Built and supported in Gqeberha
You deal with the person who built it. Set up over a call, your first cash-up done together on video, WhatsApp support after. An on-site visit is the R4,500 option below, if you want one.
Installed remotely, anywhere in SA
Not in Gqeberha? We issue your club its own private install link. Open it on your tablet, tap install, choose your owner passphrase — running the same day. Updates arrive automatically; support happens on WhatsApp.
Your passphrase is yours alone
You choose the owner passphrase on your own device — we never see it, and we can never read your book. That is not a policy promise; it is how the software is built.
What the Club Edition costs
The same price as every other Dot Book, because it is the same software with the club's records in it. What is different is how you buy it — not what you pay.

We come and set it up
R4,500once-off, plus the same R750 per month
Gqeberha and Nelson Mandela Bay
We come to your premises, configure your staff PINs and roles with you, and do your first cash-up together before we leave. Most clubs never need this — setting up over a call takes about an hour, and the first cash-up can be walked through on a video call just as well.
Why this is not sold online
The price is the same as any other Dot Book, but the Club Compliance Edition is deliberately not a self-serve purchase. There are things about the law you need to hear from a person before you buy, and we are not willing to let anyone buy a compliance book from a web page and assume they are covered. That is why this starts with a conversation — not because it costs more.
Cloud club systems charge by the month and grow with every add-on. The full price list is here — it is the same page every other Dot Book is priced on, because there is nothing different to hide.
Questions clubs actually ask
Does Dot Book make my club legal?
No — and be wary of any software that says it does. The club model is legally unsettled in South Africa. What Dot Book gives you is the honest, complete record that reduces risk and answers questions. Pair it with proper legal advice.
Where does our data live?
On your own device, in your control. Nothing is uploaded anywhere. Backups are files you keep — and the app reminds you to guard them, because your member register is personal information under POPIA.
What do members receive as proof?
A Member Contribution Statement — numbered, dated, carrying their member number, printable or emailed. Not a retail receipt, because a club is not a shop.
What hardware do we need?
Any tablet or phone with a browser. No internet needed day-to-day. Most clubs run it on one tablet at the desk.
Do you have to come to our premises?
No. Your club gets its own private install link, you open it on your tablet, install, and choose your owner passphrase yourself. First cash-up walked together over a video call. Updates arrive automatically after that. If you would rather we came to you, that is the R4,500 on-site option on the price card — in Gqeberha and Nelson Mandela Bay.
Can staff see the club's money?
Only if the owner grants it. Staff PINs control who can record hand-overs, who can see money, and who can change anything — with every action logged by name.
What happens if we stop paying?
Your book is yours. The records live on your device and export to standard files — you are never held hostage.
